Definitions and Acceptance of Terms & Conditions
The 7th Global Forum on TB Vaccines (the “7th Global Forum” or “Conference”) will be held from 8 - 10 October 2024. The 7th Global Forum is organized by the Stop TB Partnership Working Group on New TB Vaccines (WGNV) in collaboration with the International AIDS Vaccine Initiative (IAVI), the TuBerculosis Vaccine Initiative (TBVI), the Ministry of Health of Brazil, and the Brazilian Tuberculosis Research Network (REDE-TB) (together, the “Organizers”, “we”, “our”, “us”).
These Terms and Conditions (“Terms”) are used in conjunction with the Code of Conduct and the Global Forum Privacy Policy.
Registration for the 7th Global Forum implies the acceptance of these Terms, which apply from the time of registration until the closure of the Conference mobile app and attendee website and the conclusion of activities related to the 7th Global Forum. If you are registering on behalf of another person, you are obligated to inform the person about these Terms; submission of the registration form indicates their knowledge and acceptance of these Terms. The Organizers will revoke access to the Conference for any inappropriate conduct or breach of these Terms.
Participants must be 18 years or older to register for the Global Forum and agree to these Terms.
These Terms may be amended from time to time and the details of such amendments shall be published on this page of the Global Forum website and become effective as from the time of their posting.

Registration & Payment
- Registration details must be submitted electronically via the online registration platform. Only fully completed registration forms submitted via the online registration system will be accepted.
- All registration fees are payable in Brazilian Reais (R$).
- The Organizers reserve the right to cancel without warning any registrations that are not paid in full within 21 days of submitting the registration online or 30 September 2024, whichever is earlier. The Organizers disclaim any responsibility or liability for any such cancellation and no claims for compensation can be lodged against the Organizers for such cancellation.
- If a registration is canceled due to non-payment, re-registration will be required to participate in the 7th Global Forum. The registration rate applicable at the time of re-registration will apply.
- Participants will not be allowed entry to the Conference venue unless payment has been received in full. On-site payments are at the Organizers’ discretion and are subject to availability.
- Credentials to access the online platform and mobile app will not be issued unless the registration payment has been received in full.
- Invitation letters, if required to support a visa application, will only be issued to participants who have paid the registration fee in full.
- Registration payments for the 7th Global Forum are received and processed by REDE-TB.
- Payments must be made in Brazilian Reais (R$) using a credit card (Visa or Mastercard) or by bank transfer.
- Participants are responsible for any fees associated with the registration payment, including any wire transfer fees and international transaction fees.
Discounted registration rates are offered to students and participants from lower- and middle-income countries (LIC/MIC). All discounted registrations are subject to verification.
Student Registrations
- To be eligible to register at the discounted student rate, the participant must submit proof of full-time or part-time enrollment at a recognized university or college that will be valid at the time of the conference.
- Proof of enrollment must be submitted at the time of registration. If such proof is not received, the registration may be canceled, or a higher rate may apply. The Organizers disclaim any responsibility or liability for any such cancellation, and no claims for compensation can be lodged against the Organizers for such cancellation.
Lower-Income Country and Middle-Income Country (LIC/MIC) Registrations
- LIC/MIC countries include those countries with low-income economies, lower-middle-income economies, and upper-middle-income economies as classified by the World Bank.
- The reduced LIC/MIC rate is available for participants who are living and working in LIC/MIC countries.
- The high-income country (HIC) registration rate applies to participants from LIC/MIC countries who are living and working in a high-income country (HIC).
Participants are responsible for any taxes that may apply.
Cancellation, Refunds, & Registration Transfers
Registrations may be canceled for a refund as per the schedule below, based on Pacific Daylight Time.

- Until 3 September: Refund of registration fee less a 25% administrative fee
- From 4 September 2024: No refunds for registration cancellations
Cancellations must be done through your account on the registration platform. Login to your account and select the "Cancel Registration" button.
Refunds will be processed using the same method of payment that was used to pay the registration fee. Refunds may take up to two weeks to be processed.
- Registrations may be transferred to another participant from the same institution.
- Registrations may be transferred to another participant in the same registration category (regular, LIC/MIC, student) at no cost.
- Registrations may be transferred to a participant in a higher registration cost category, however the difference in registration rates will apply.
- Registrations may be transferred to participants in a lower-cost category. The difference in rates will be refunded less a 5% administrative fee.
- To transfer a registration, contact us by email at tbvaccinesforum@iavi.org and provide your name and registration confirmation number, and the name, email address, and country of the person to whom you will transfer the registration.
- The deadline for requesting a transfer of registration is 15 September 2024.
Mobile App & Attendee Website
A mobile app and attendee website will be available to participants who have paid their registration fees from one week before the Conference to three months after its conclusion.
- The mobile app and attendee website are powered by Cvent. You can view their privacy policy here.
- Credentials to access the mobile app and online platform will be sent in advance of the Conference to participants who have paid their registration fees in full. Credentials will not be provided to participants who have not paid the registration fee.
- Registration access details are for the individual participant. Registration may be transferred to another individual under the Registration Transfer Policy (above), but access details may not be shared with non-registered participants.
- You are responsible for keeping your access details confidential and your device secure.
- Access to the mobile app and attendee website requires the use of your computer or mobile device, as well as communications with or use of space on such devices. You are responsible for any internet connection or mobile/data fees and charges that you incur while accessing the 7th Global Forum mobile app and attendee website.
- By registering for the 7th Global Forum, you agree to the mobile app and attendee website privacy policy, terms and conditions, and end-user license agreement as applicable, and you agree to use the mobile app and attendee website in accordance with the agreement and as set out in the instructions provided.
- Submitting transmitting, distributing, or displaying any content that may be deemed as defamatory, libelous, obscene, harassing, threatening, incendiary, abusive, racist, offensive, deceptive or fraudulent, encouraging criminal or fraudulent conduct, or which is otherwise objectionable.
- Collecting or attempting to collect, and/or sharing personal information about Participants without their consent.
- Impersonating any person or entity; falsely claiming an affiliation with any person or entity; misrepresenting the source, identity, or content of information transmitted via the mobile app, attendee website or other conference systems, or perform any other similar fraudulent activity.
- Transmitting junk or spam, including but not limited to unsolicited mail, fraud, phishing, chain mail, or otherwise engage in unethical marketing or advertising.
- Interfering with, disrupting, disabling, or damaging the operation of the mobile app and/or attendee website or any participant’s enjoyment of them, by any means, including uploading or otherwise disseminating viruses or other malicious code.
- Using the mobile app and/or the attendee website for any illegal purpose, or in violation of any local, national, or international law or regulation.
- Some or all of the 7th Global Forum sessions may be recorded by the Organizers.
- Recorded sessions will be made available on-demand to registered participants for three (3) months following the Conference. Certain sessions may be made available online to the general public.
- You may not share your access to recorded sessions with persons who did not register for the 7th Global Forum.
- Aspects of your participation in the event, including but not limited to your image, voice, and writings, may be included in these recordings, even if you are not a presenter.
- Photographs and video and audio recordings will be taken throughout the Conference. By participating in the 7th Global Forum, you understand and agree that you may be photographed and/or recorded (video and/or audio) by the Organizers and service providers they engage for this purpose. You also agree that the Organizers may use video recordings, audio recordings, and photographs containing your image, voice, or likeness in any and all media related to the Global Forum conference series and for other purposes in furtherance of their charitable missions, without additional permission from you or compensation to you.
- The Organizers, speakers, and sponsors retain the copyright and intellectual property rights on their respective information, documents, files, presentations, and other content shared during the event.
- You may not copy, retransmit, record, photograph, or store event content unless expressly permitted or as allowed the Conference media and social media policies.
- Any views, advice, information, data, or items provided by speakers, participants, or sponsors are their own opinions or items and are not necessarily supported, approved, or authorized by the Organizers.
- The Organizers cannot accept any liability for views, advice, information, data, or items provided by speakers, participants, or sponsors at the event, or in any material provided to the participants in any way.
- For information on how we may use and process your personal information, please read our Privacy Policy.
- By registering for the 7th Global Forum and submitting your email address and other information during the registration process, you agree to the Privacy Policy and that the Organizers may:
- Send you information by email related to your participation in the 7th Global Forum, such as event logistics, information on how to access content, program updates, and payment information as applicable; and respond to your questions about the Conference and provide registration and support services.
- Disclose your personal data to authorized third-party service providers engaged by the Organizers to assist in the conduct of the 7th Global Forum (e.g., the provider of registration and check-in services, registration services, and the mobile app and attendee website (Cvent); registration payment processing (Cvent, Stripe); the local conference organizer (Interevent); email marketing platform (Mailchimp); providers for dietary requests or special accommodations as requested; and other suppliers who will be providing necessary services).
- Provide information to you about upcoming Global Forums on TB Vaccines by email (you can unsubscribe from these messages at any time).
- If you consent or opt-in, your personal data and other information you share during the registration process may be used for the additional purposes you agree to, such as inclusion in the online participant list, networking features, and sharing your information with 7th Global Forum sponsors.
- If you provide us with any personal information other than your own – for example, an assistant’s email address or emergency contact information - you are responsible for ensuring they know that you have done this and for providing them with access to the privacy policy. If they have any questions relating to such processing, they may contact the Organizers at tbvaccinesforum@iavi.org.
- If a medical or other crisis occurs, the Organizers may collect special category data from your emergency contact and may share information with your emergency contact about the medical or other crisis based on your vital interests.
- Accommodation, travel, and tourism services are provided by Blumar, the official tourism agency of the 7th Global Forum. Blumar is the controller of data submitted via the travel and accommodations site for these purposes, and their privacy policy applies to this data.
- If you have questions about how your information may be used or how to opt out of having your information shared, contact us at tbvaccinesforum@iavi.org.
- The Organizers reserve the right to modify the 7th Global Forum program, speakers, and timings, which are published as an indication only.
- The Organizers reserve the right to cancel the 7th Global Forum or change to a virtual or hybrid format in case of unforeseen or exceptional circumstances. In this case, you will be notified and given the option to convert your registration to virtual.
- In the event that the 7th Global Forum changes to a virtual or hybrid format, these Terms will be modified. You will be notified of the modified Terms and will be required to agree to the new Terms to maintain your registration to the Conference.
- In the event that the 7th Global Forum cannot be held or is postponed due to events beyond the control of the Organizers (force majeure) or due to events that are not attributable to wrongful intent or gross negligence of the Organizers, the Organizers cannot be held liable by participants for any damages, costs, or financial losses incurred. Under these circumstances, the Organizers reserve the right to either retain the entire registration fee and to use it for a future conference, or to reimburse the participant after deducting costs already incurred for the organization of the Conference and which could not be recovered from third parties.
- You warrant that you shall not, by any act or omission, cause the Organizers to be in breach of their agreements with any of their third-party providers in relation to the Conference.
- All conditions, representations, and warranties, whether express, implied, statutory or otherwise, including, without limitation, any implied warranty of merchantability, or fitness for a particular purpose, are hereby disclaimed by the Organizers to the maximum extent permitted by law.
- Oral agreements shall not be binding if these have not been confirmed in writing by the Organizers.
Attendee Website and Mobile App
- The attendee website and mobile app are delivered over the internet and, accordingly, are subject to limitations, delays, and other problems inherent in the use of the internet and electronic communications. The Organizers shall not be responsible for any delays, delivery failures, viruses, hacker intrusions or other damage resulting from such problems.
- The Organizers make no representation, warranty, or guarantee as to the reliability, timeliness, quality, suitability, truth, availability, accuracy or completeness of the attendee website and mobile app.
- The Organizers do not represent or warrant that:
(a) the use of the attendee website or mobile app will be secure, uninterrupted or error free; or
(b) the attendee website and mobile app or the servers that make the services available are free of viruses or other harmful components.
- To the fullest extent permitted by applicable law, the Organizers shall not be liable or responsible for any actual or alleged indirect, special, incidental, exemplary, or consequential damages of any kind, loss of profits and/or loss of data arising from and in connection with participation in the 7th Global Forum. The Organizers’ liability for loss shall be limited to a claim for direct damages; the maximum aggregate liability will be the registration fee paid by the Participant for the Conference. The liability of commissioned service providers shall remain unaffected by this.
- The Organizers and the venue have taken reasonable steps to evaluate and mitigate risks associated with participation in this event, however the Organizers and their representatives, independent contractors, and agents cannot be responsible for unforeseen, unmitigated, or accidental hazards, including exposure and/or adverse reactions to pathogens or allergens, or the behavior of those outside the Organizers’ control. It is the responsibility of the participant to mitigate any personal risks associated with their own involvement in the 7th Global Forum, and to arrange appropriate insurance coverage in connection with their participation.
- Each participant, on his/her/their own behalf, as well as on behalf of his/ her/their heirs, assigns and representatives, HEREBY RELEASES, WAIVES, DISCHARGES AND COVENANTS NOT TO SUE THE ORGANIZERS AND THEIR RESPECTIVE DIRECTORS, OFFICERS, EMPLOYEES, INDEPENDENT CONTRACTORS, AGENTS AND REPRESENTATIVES (COLLECTIVELY, THE "RELEASEES") FROM ANY AND ALL LIABILITY FOR ANY LOSS OR DAMAGE AND ANY CLAIM OR DEMANDS THEREFORE FOR ANY INJURY OR DEATH OR DAMAGE TO PROPERTY ARISING OUT OF OR RELATED TO THE GLOBAL FORUM, WHETHER CAUSED OR CONTRIBUTED TO BY THE NEGLIGENCE OR BREACH OF WARRANTY OF THE RELEASEES, PARTICIPANTS, THIRD PARTIES, OR OTHERWISE.
This contract is subject to the laws of New York, United States. In the event of any legal claims arising from either party the Courts located in the State of New York shall be the sole courts of jurisdiction
If any part of these Terms is to any extent illegal, invalid, or incapable of being enforced, such parts shall be excluded to the extent of such invalidity or unenforceability. All other terms shall remain in effect and, to the extent permitted and possible, the invalid or unenforceable term shall be deemed replaced by a term that is valid and enforceable and that comes closest to expressing the intention of such invalid or unenforceable term.
