Definitions and Acceptance of Terms of Use

The Virtual Global Forum on TB Vaccines (the “Global Forum” or “Conference”) will be held from 20-22 April 2021. The Global Forum is organized by the Stop TB Partnership Working Group on New TB Vaccines (“WGNV”) in collaboration with the International AIDS Vaccine Initiative (“IAVI”) and the TuBerculosis Vaccine Initiative (“TBVI”) (together, the “Organizers”, “we”, “our”, “us”).

These Terms and Conditions (“Terms”) incorporate and will be applied in conjunction with the End User Agreement (EUA) and Privacy Policy for the virtual platform provided by All in the Loop (AITL) and the Global Forum Privacy Policy.

These Terms shall apply to all Global Forum participants, regardless of registration type (“participant”, “you”, “your”), and to anyone registering on behalf of a participant. Registration for the Global Forum implies the acceptance of these Terms, which apply from the time of registration until the closure of the conference platform and conclusion of activity related to the Global Forum. The Organizers will revoke access to the Conference for any inappropriate conduct or breach of these Terms.

Participants must be 18 years or older to register for the Global Forum and agree to these terms.

These Terms may be amended from time to time and the details of such amendments shall be published on the Global Forum website and become effective as from the time of their posting.

Global Forum Registration

Registration details must be submitted electronically via the online registration platform. Only fully completed registration forms submitted via the online registration system will be accepted.

Registration will only be confirmed upon receipt of payment in full. Registrations that are not paid in full within 14 days of registering will be cancelled. If registration is submitted 14 days or less from the start date of the Global Forum, payment in full must be receive by 19 April 2021 or access to the conference will be cancelled.

If the full payment has not been received before the respective registration fee deadline, the registration may be cancelled or a subsequent, higher rate may apply. The Organizers disclaim any responsibility or liability for any such cancellation and no claims for compensation can be lodged against the Organizers for such cancellation.

To be eligible to register at the discounted student rate, the participant must submit proof of full-time enrollment at a recognized university or college valid at the time of the conference. Proof of enrollment must be submitted to the conference organizers within two weeks of submitting the registration form. If such proof is not received, the registration may be cancelled, or a higher rate may apply. The Organizers disclaim any responsibility or liability for any such cancellation and no claims for compensation can be lodged against the Organizers for such cancellation.

The LIC/MIC rate is available for participants from research/academic institutions, public sector institutions, and NGOs that are based or headquartered in LIC/MIC countries. The regular registration rate applies to private sector and for-profit institutions, to participants based in LIC/MIC countries from institutions based or headquartered in a high-income country, and to participants from LIC/MIC countries who are living and working in a high-income country.

Methods of Payment

A registration fee must accompany all conference registrations. Payments should be made in advance in USD, using a credit card or by bank transfer. Participants are responsible for any fees associated with the registration payment, including any wire transfer fees and international transaction fees.

Clearly indicate “VGF” and the participant’s registration number as a reference on all bank transfers.

One Person per Login

Registration access details are for the individual participant. Registration may be transferred to another individual under the Transfer Policy put forth in these Terms, but access details may not be shared with non-registered participants.

Refund and Registration Transfer Policy

As this is a virtual conference with all content available to view on demand for up to six months after the Global Forum, registration fees are non-refundable.

Registrations may be transferred to another participant in the same registration category (regular, LIC/MIC, student) at no cost.

Requests for transfer of registration must be submitted in writing to info@tbvaccinesforum.org, and include the registered participant’s name, the name of the participant to whom the registration is being transferred, and changes in contact details.

The deadline for requesting a transfer of registration is 15 April 2021.



The Global Forum will be broadcast online and will be recorded by the Organizers. Recorded sessions will be made available on-demand to registered participants for six months following the Conference. Certain session recordings may also be made available for public viewing.

You may not share your access to recorded sessions with persons who did not register for the Global Forum.

Aspects of your participation in the event, including but not limited to your image, voice, and writings, even if you are not a presenter, may be included in these broadcasts or recordings.


Intellectual Property Rights

The Organizers, presenters, and sponsors retain the copyright and intellectual property rights on their respective information, documents, files, presentations, and other content shared during the event.

You may not copy, retransmit, record, photograph, or store event content unless expressly permitted.


Conference Systems and Conduct

You will be given access details to enable your participation in the event using the AITL conference platform, provided your registration fee is paid in full. You are responsible for keeping your access details confidential and your device secure.

Access to the AITL conference platform requires the use of your computer or mobile device, as well as communications with or use of space on such devices. You are responsible for any internet connection or mobile/data fees and charges that you incur while accessing the Global Forum on the AITL conference platform.

By registering for the Global Forum, you agree to the AITL end-user license agreement and privacy policy, and you agree to use the conference platform in accordance with the agreement and as set out in the instructions provided.

You will conduct yourself appropriately. This includes treating all people fairly with dignity and respect, regardless of their age, gender, ability, sexual orientation, religion, race, or any other characteristic. Harrassing and/or abusive behavior will not be tolerated and will result in your removal from the Global Forum.

You agree that you will not:

  • Submit, transmit, distribute, or display any content that may be deemed as defamatory, libelous, obscene, harassing, threatening, incendiary, abusive, racist, offensive, deceptive or fraudulent, encouraging criminal or fraudulent conduct, or which is otherwise objectionable;
  • Collect, or attempt to collect, personal information about participants without their consent;
  • Impersonate any person or entity; falsely claim an affiliation with any person or entity; misrepresent the source, identity, or content of information transmitted via the systems or perform any other similar fraudulent activity;
  • Transmit junk or spam, including but not limited to unsolicited mail, fraud, phishing, chain mail, or otherwise engage in unethical marketing or advertising;
  • Interfere with, disrupt, disable, or damage the operation of the conference platform or any participant’s enjoyment of them, by any means, including uploading or otherwise disseminating viruses or other malicious code;
  • Use the conference platform for any illegal purpose, or in violation of any local, national, or international law or regulation.

Data Collection and Data Privacy

All data provided in connection with the Global Forum may be used (saved, stored, processed, transmitted and deleted) in accordance with the Global Forum Privacy Policy and the AITL Privacy Policy. If you are participating in the Global Forum, the data you have provided may be shared with the Organizing Partners, subject to the terms of the Global Forum Privacy Policy.

By registering for the Global Forum and submitting your email address and information during the registration process, you agree to the terms of the Privacy Policy and agree that the Organizers may:

  • Send you information by email related to your participation in the Global Forum, such as event logistics, information on how to access content, program updates, and payment information as applicable; and respond to your questions about the Conference and provide registration and support services.
  • Disclose your personal data to authorized third party service providers engaged by the Organizers to assist in the conduct of the Global Forum (e.g., the virtual platform provider, email communication provider, and credit card processing service).
  • If you consent, your personal information and information you share during the registration process may be used for the additional purposes you agree to, such as inclusion in the online participant list and networking features and sharing your information with sponsors with whom you interact during the Global Forum.

Modification to Program or Cancellation of the Global Forum

The Global Forum Organizers reserve the right to modify the Global Forum program and timings, which are published as an indication only.

In the event that the Global Forum cannot be held or is postponed due to events beyond the control of the Organizers (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the Organizers, the Organizers cannot be held liable by participants for any damages, costs, or financial losses incurred. Under these circumstances, the Organizers reserve the right to either retain the entire registration fee and to use it for a future conference, or to reimburse the participant after deducting costs already incurred for the organization of the conference and which could not be recovered from third parties.


The conference platform is delivered over the internet, and accordingly, is subject to limitations, delays, and other problems inherent in the use of the internet and electronic communications. The Organizers shall not be responsible for any delays, delivery failures, viruses, hacker intrusions or other damage resulting from such problems.

The Organizers make no representation, warranty, or guarantee as to the reliability, timeliness, quality, suitability, truth, availability, accuracy or completeness of the Platform. The Organizers do not represent or warrant that:

(a) the use of the Platform will be secure uninterrupted or error free; or

(b) the Platform or the servers that make the services available are free of viruses or other harmful components. All conditions, representations and warranties, whether express, implied, statutory or otherwise, including, without limitation, any implied warranty of merchantability, or fitness for a particular purpose, are hereby disclaimed by the Organizers to the maximum extent permitted by law.

To the fullest extent permitted by applicable law, the Organizers shall not be liable or responsible for any actual or alleged direct, indirect, or consequential damages of any kind, loss of profits and/or loss of data arising from and in connection with participation in the Global Forum. The liability of commissioned service providers shall remain unaffected by this. You shall take part in the event at your own risk. Oral agreements shall not be binding if these have not been confirmed in writing by the Organizers.


Fulfillment and Jurisdiction

This contract is subject to the laws of New York, United States. In the event of any legal claims arising from either party the Courts located in the State of New York shall be the sole courts of jurisdiction.


If any part of these Terms is to any extent illegal, invalid, or incapable of being enforced, such parts shall be excluded to the extent of such invalidity or unenforceability. All other terms shall remain in effect and, to the extent permitted and possible, the invalid or unenforceable term shall be deemed replaced by a term that is valid and enforceable and that comes closest to expressing the intention of such invalid or unenforceable term
